Why do you need page numbers in a PDF?
Long documents without page numbering are difficult to navigate and reference. Imagine reading an 80-page report and wanting to tell a colleague to review "the sales graphics page" — without page numbers, that communication is impossible. Numbering is fundamental for corporate reports, academic theses, technical manuals, meeting minutes and any multi-page document.
The common problem is that many PDFs are created from tools that don\'t add automatic numbering, or they come from multiple merged sources. Our tool allows you to add page numbers to any existing PDF without needing to recreate it from the original document.
Available numbering options

Numbering formats
- Arabic numerals (1, 2, 3...): The most universal format and recommended for almost all documents.
- Roman numerals (i, ii, iii...): Very popular for preliminary pages (index, foreword, acknowledgments) in books and theses.
- Uppercase Roman numerals (I, II, III...): More formal variant of Roman numerals.
- Letters (a, b, c...): Uncommon, but useful for appendices and annexes.
- With text: "Page X of Y": Useful for documents where the reader needs to know the total number of pages.
How to add page numbers (step by step)
- Access the tool: Go to add page numbers to PDF.
- Upload your PDF: Select or drag the PDF file you want to number.
- Choose the position: Select where you want the number to appear (center bottom, bottom right, etc.).
- Select the format: Choose between Arabic, Roman or other available formats.
- Configure the starting number: By default it\'s 1, but you can start from any number (useful when the PDF is part of a longer document).
- Define pages to number: You can exclude the first page (cover) or the first N pages from the count.
- Adjust the style: Font, size and color of the page numbers.
- Apply and download: The processed PDF downloads with numbers already integrated.
Academic tip: In theses and final degree work, the convention is to use Roman numerals for preliminary pages (index, abstract, acknowledgments) and start Arabic numbering from the first chapter. You can achieve this by processing the PDF in two parts.
Exclude pages from numbering
You don\'t always want all pages to have a number. The most common exclusion cases are:
The cover page
It\'s standard not to number the cover page of a report or thesis. Numbering starts on the second page, but the counter can begin at 1 (the cover "counts" but doesn\'t show a number) or at 2 (starting explicitly from the second).
Intentional blank pages
In double-sided printed documents, blank pages are inserted so new chapters always start on an odd page. These blank pages usually don\'t show a number.
Pages with special design
Back covers, chapter separator pages or full-page graphics pages are sometimes excluded from visible numbering.
Practical uses of page numbering
Academic documents (thesis, dissertations)
Most universities\' regulations require page numbering in theses and academic papers. If you submitted the document without page numbers or need to reformat it, our tool lets you add them in minutes.
Corporate reports
Annual reports, sustainability reports or investor presentations are distributed as multi-page PDFs where numbering allows precise references during meetings or reviews.
User manuals
Technical and user manuals need clear numbering that matches the index to facilitate reader navigation.
Meeting minutes and legal documents
Notarial documents and meeting minutes must have each page numbered to guarantee document integrity and facilitate reference during disputes or audits.
Commercial proposals
A well-numbered business proposal conveys professionalism and allows the client to reference specific sections during negotiations.
What if the PDF already has page numbers?
If your PDF already has page numbers built into the document design, adding new numbers will overlap them. In that case, you\'d have two visible numberings, which isn\'t desirable. If you need to change existing numbering, the most practical approach is to convert the PDF to Word, adjust the numbering there, and export back to PDF.
Resulting PDF compatibility
Page numbers are added as text elements embedded in the PDF (not as images), which means they\'re selectable and searchable. The resulting document is compatible with all modern PDF viewers: Adobe Acrobat Reader, web browsers, iOS, Android and any other PDF reader.
